Looking for Tech-Savvy Virtual Assistants who act not just as an administrative supporter, but as a strategic operational partner. The ideal candidate will possess exceptional written and verbal communication skills, a deep understanding of CRM platforms (like Salesforce, HubSpot, or Zoho), and the ability to adapt to new software quickly. You will be the bridge between internal teams and clients, ensuring seamless workflow and data integrity.

Key Responsibilities
1. Administrative & Operational Support:
Manage executive calendars, schedule meetings, and coordinate travel arrangements.
Handle email management, triage inquiries, and draft correspondence on behalf of leadership.
Prepare reports, presentations, and meeting agendas.
Conduct online research and compile data for business development.
2. Client Relationship Management (CRM):
Manage and maintain the CRM database: Ensure all client and lead information is accurately entered, updated, and segmented.
Lead Management: Track leads through the sales pipeline, assign tasks to sales teams, and ensure timely follow-ups.
Reporting: Generate weekly/monthly sales and activity reports from the CRM.
Data Hygiene: Regularly audit the CRM to remove duplicates and correct outdated information.
3. Communication & Client Interaction:
Serve as the primary point of contact for client inquiries via email, chat, or video conferencing.
Communicate project updates and deliverables clearly to both internal teams and external stakeholders.
Draft professional proposals, contracts, and client onboarding materials.
4. Technology & Systems Management:
Utilize project management tools (e.g., Asana, Trello, ClickUp) to track tasks and deadlines.
Set up and manage virtual meeting platforms (Zoom, Google Meet, Microsoft Teams).
Troubleshoot minor technical issues and suggest new software solutions to improve efficiency.
Integrate various SaaS tools to streamline workflows (Zapier/Make experience is a plus).
Qualifications & Requirements
Experience:
Proven experience as a Virtual Assistant, Executive Assistant, or similar role (2+ years preferred).
Demonstrated experience managing a CRM platform (e.g., Salesforce, HubSpot, Zoho, Pipedrive, or Monday.com).
Hard Skills:
CRM Proficiency: You must be able to build reports, manage pipelines, and automate workflows.
Tech Savvy: High proficiency in G-Suite (Gmail, Drive, Docs) and/or Microsoft Office 365.
Software Agility: Ability to learn new software quickly (we use [insert specific software]).
Typing Speed: 55+ WPM with high accuracy.
Soft Skills:
Communication: Excellent written and verbal English. You can switch from a casual chat tone to a formal business proposal seamlessly.
Proactive: You don’t wait for instructions; you anticipate needs and offer solutions.
Time Management: Ability to work independently in a remote environment with minimal supervision.
Detail-Oriented: High level of accuracy in data entry and proofreading.
Preferred (Nice-to-Haves)
Experience with design tools like Canva or Adobe Spark.
Basic knowledge of HTML/CSS or WordPress.
Experience with social media scheduling tools (Buffer, Hootsuite).
Knowledge of automation tools (Zapier, Make).
